 square Outline of KEK dormitory (Tsukuba Campus)

 square1 Reservation

  Before you make a dormitory reservation, you must have your KEK User Registration completed in
the User Support System. KEK dormitory reservations accepted from 45 days prior to the date of your arrival at KEK. 

 square1 In case of Change or Cancellations  

  When it is necessary to change the dates or cancel your stay schedule after you made reservation,
  please do the change procedures by yourself from your portal site before arrival at KEK. After
  arriving at KEK, please inform the Users Office directly or via e-mail as soon as possible.

  Cancellation of KEK accommodation must be made at least one day before your occupancy date.
  Otherwise, You are required to pay full charge.

   There are 208 rooms in four buildings (No. 1 - No. 5).

  ● Dormitory Charge from April 1st, 2023 (Tax included)

 Building No. 1 Single (no bath/ toilet) 68 rooms 2,100 yen
 Building No. 3 Single (with bath and toilet) 32 rooms 2,600 yen
 Building No. 4 Single (with bath and toilet) 40 rooms 2,600 yen
 Building No. 5 Single (with bath/toilet) 68 rooms 3,100 yen

  Circle_gCheck-in
   You can receive your room key from the dormitory superintendent office (ext. 5574 or PHS 2920)
   when you check in between 4:00 PM and 10:00 PM. Please bring your print out of the Reservation
   Confirmation Sheet. When you arrive between 10:00 PM and 7:00 AM, your room key is at the
   Information Center (Guards Office).

Please check out by 10:00 AM. If you need to stay the room bit longer afer 10:00 AM, please ask
   a superintendent of dormitory (ext. 5574 or PHS 2920) about that.
   When you check out, please return the room key into the return-box which is in front of the
   superintendent office.

  Please read carefully the "Dormitory Guide" provided in the room. there are a bath towel, a face towel, Yukata (informal cotton kimono), a hair dryer, body-soap and
rinse-in-shampoo.
There is not face-soap, shaver, toothpaste or toothbrush in the room. You can purchase them in the KEK grocery.
If you need extra blankets, please ask the superintendent.

  Circle_gFacilities  
   There are kitchens, lounges, laundry rooms in each building and there is shower-room in the
   common Bldg. Vending machines are located along the hallway to Bldg.# 2.
   There is hair dryer in washrooms, body soap, rinse-in-shampoo in the common bathroom area
   and the common shower room.
   You can purchase frozen foods, instant noodles, alcoholic and non-alcoholic beverages, etc.
   Coin-lockers are for a specific use, only so please do not use them for long periods of time.

  Circle_gPayment for accommodation.

   There are four way for your payment.
   If you have not paid your charge for two months after you had stayed, you may not be able
   your next stay.

   1) Off-setting (Stay at Dormitory in Tsukuba and KEK Support for Traveling expenses)

    If domestic users apply for travel expenses and reserve accommodation simultaneously, the
   accommodation charge will be deducted from the travel expenses provided.
   Users from abroad get their travel support in cash, and dormitory charge is not deducted.
   
   Your payment for the dormitory booking is to be off-set with the reimbursement of your travel
   expenses.
   In order to do so, you have to make an application for the reimbursement of the travel expenses
   at the time of your dormitory booking. You can confirm it your transection is approved or not by
   checking on your User Portal side.

    2)-1 payment by cash or credit card at the Users Office.

   You can make a payment by cash or credit card at the Users Office. We accept VISA, Master, JCB,
   American Express and Debit cards.

   Opening hours of the Users Office : 9:00 AM - 5:00 PM on weekdays other than national holidays
                     and KEK-holiday

    2)-2 payment by cash or credit card to a superintendent at the dormitory.

   All those users check out during holidays, who are not able to make a room payment at the Users
   Office, will be allowed to make a payment to a superintendent at the dormitory. Cash or Credit
   cards can be accepted. The superintendent does not have change.
   (Paying to a superintendent is for a special case when it is difficult to pay at the Users Office, we
   would like to ask you to pay at the Users Office as much as possible when you start staying during
   weekdays.)

    ・Who qualifies: Users check out on weekend or holiday
    ・Service hours: 8:30 – 22:00 (Sat. Sun. and Holiday) 

    3) Online payment via your portal-site.

   [Procedure]
    1. Please enter from your User Portal ⇒ Left-hand side of the screen「Accommodation Booking
     and/or Travel Expenses」⇒ From 5. Online Payment, select the accommodation reservation
     you want to pay.
     You can select online payment within 28 days from the day you checked out.
    2. Press [Make online payment] button at the bottom of the page, and you will receive an e-mail
     for settlement.
    3. After press the URL the settlement screen opens. Full in the necessary information (Credit
     card number, etc.) by the deadline which is written on the e-mail.

   4) Bank transfer.

   Transfer handling charge must paid by user.
    * Bank and branch : Sumitomo Mitsui Banking Corporation, Ushiku branch.
    * Account name and Number : Koeneken Honguchi / Ordinary deposit account, # 4044782.
    * Fill in the necessary items at the time of transfer: Your name and accommodation period.
      Ex. Name is Taro Tsukuba, stayed at Dormitori between 2020, Jan 10 and 2020, Feb 10.

   Dormitories are closed from December 28 to January 3. 
   During your stay, please try not to interfere the privacy of other Users. Also keep tidy and neat
   common use places like: kitchen, lounge, shower room, restroom and laundry. 

 square1 Remarks

  * Change bedding every time the guest changes. However, when a guest staying same room longer,
   it will be changed every 3 days from the start that room.
   There are extra blanket in the clothing locker in the room. when you need more blankets, please
   ask the superintendent.
  * When you sleep during daytime, hang a note card 'Do not wake me up' on the door-knob.
  * No smoking in Dormitory Bldg. There is smoking place outside the Dormitory.
